Executive Assistant

A leading banking and financial services multinational, providing a full range of banking and investment options to all levels of clientele, is looking for an experienced and energetic Executive Assistant to support a senior manager and related staff in New York.



  • Provide administrative support to senior exec and management team
  • Coordinate senior level appointments, receptions, calls, meetings
  • Handle confidential information and ensure company confidentiality
  • Assist with presentation creation (spreadsheets, presentation documents, etc.)
  • Maintain distribution lists and schedule reminders
  • Maintain org. charts
  • Create and maintain agendas for weekly/monthly staff meetings
  • Serve as backup for other executive staff if required
  • Produce reports, maintain records and manage correspondence requirements
  • Coordinate travel arrangements
  • Track and submit expense reports
  • Order supplies and handle invoices
  • Manage small ad-hoc projects as required



  • High degree of professionalism
  • Experience prioritizing multiple requirements in fast-paced environments
  • Problem-solving mindset, able to work unsupervised and productively
  • 5+ years’ experience in a similar role, ideally with experience in the financial services industry
  • Associate’s degree
  • Polished interpersonal skills with experience organizing, presenting and liaising between/to various groups
  • Experience managing confidential information
  • Strong MS Office skills
